The Leads page provides a centralized location for managing and processing potential customers within the system. Commercial leads generated from the online booker will automatically appear here, helping to streamline your workflow.
You can customize the sales funnel process as you wish, the main thing to understand is that when you are ready to convert this lead to a client in the system, click the plus button under the Actions. When you are ready to remove the lead from the main view, click the storage box icon under Archived.
Table Options:
- Batch Action: Select one or more leads by checking the box to the left of each row. Click the Batch Action button to reveal a dropdown menu of actions that can be applied to all selected leads simultaneously.
- Create: Click this button to open a form for manually entering a new lead into the system.
- Sales Funnel: This section displays the stages of your defined sales process. These stages can be customized under Admin > Sales Funnel. Clicking on a specific stage will filter the lead table to show only leads currently associated with that stage. The numerical value next to each stage indicates the number of leads in that stage.
- Clear: Click this button to remove all active filters applied to the lead table, displaying all leads.
- Search: Click this button to refresh the lead table and display the most up-to-date information. When new leads or updates are available, the magnifying glass icon on this button will be replaced by an information icon (i) to alert you.
- Paging: Use the paging controls to navigate through multiple pages of leads.
- Table Columns: Each column header in the lead table includes a filter option, allowing you to narrow down the displayed leads based on specific criteria within that column. You can directly interact with and modify data in most columns by clicking on the cell content.
Table Columns Details:
- Checkbox: Use these checkboxes to select leads for performing batch actions.
- Assignee: This column shows the team member currently assigned to manage the lead. Clicking on "None" or the assignee's name allows you to assign or reassign the lead to another user. The "Assign to Myself" option quickly assigns the selected lead(s) to your account. Emails will be sent out to the username(s) that are assigned to the lead.
- Created Date: Displays the date when the lead was initially created in the system.
- Modified Date: Shows the date and time when the lead record was last updated.
- First Name: The first name of the lead contact.
- Last Name: The last name of the lead contact.
- Job Title: The job title of the lead contact.
- Company Name: The company name associated with the lead.
- Email: The email address of the lead contact.
- Phone: The phone number of the lead contact.
- Address: The physical address of the lead contact or company.
- Special Instructions: Any specific instructions or notes provided by the customer associated with this lead.
- Source: Indicates the origin of the lead (e.g., website form, referral).
- Tags: Displays tags assigned to the lead for categorization and organization. Tags marked with an asterisk (*) are specifically designated as Lead tags. The "None" filter only filters for leads that don't have (*) on them.

Action: This column provides options for interacting with the lead:
- Send Email: Click this button to send an email to the lead contact. You can select a pre-designed email template from the dropdown list. Email templates and signature tokens are managed under Admin > Message Center. The "From" email address will be the logged in users username. Make sure it's a real @zerorez.com address! Other domains will need their DNS records updated. Generic domains like @gmail.com will not work.
- Convert to Client: Clicking this button opens a pre-populated form that allows you to convert the lead into a new client within the system. Ensure you select the appropriate commercial type during the conversion process.

Logs:
- List icon: View a history of actions and activities related to the lead.
- Open envelope icon: View emails sent to this lead.
- Archived: Indicates if the lead has been archived. Archiving allows you to remove leads from the main view without permanently deleting them.

Attachments: This section allows you to upload and manage files associated with the lead. Click the "Add Attachments" button to upload new files. Icon will show as blue if the lead has attachments.
- Documents: Displays any signed documents related to the lead. Document templates are created in Admin > Documents and can be added to email templates in Admin > Message Center. You can send documents to leads by selecting the corresponding template when sending an email (as described in the "Send Email" action above). Icon will show as green if the lead has documents.

Questions:
How do I setup automated initial emails to go out to these commercial leads when they complete the online form?
There is a trigger in Admin > Message Center > Triggers called "Initial Lead Submission". You can hook up an email template to that trigger in the Message Center to send out automated emails when a customer fills out the business form online. The lead logs will show if that email was sent out. The "from" address for the Initial Lead Submission email will be the user who is set as the default in Admin > Message Center > Signatures.
How do I view emails sent?
You can filter and view emails sent from Zr Ware in Dashboard > Emails.
Emails to individual Leads can also be viewed in the Action column in Dashboard > Leads.
