Report Overview 📜
The Upcoming Appointments Report is a vital operational tool for managing your schedule and proactively engaging with customers. It provides a comprehensive list of all active appointments that are not yet completed, canceled, or marked as a lost sale. Essentially, it’s your master list for all jobs that still require attention.
This report includes all bookings with an "Upcoming" or "Work in Progress" status that fall within your specified date range.
Important Note: While the name suggests future appointments, this report will include past dates if the appointment status is still active. This is a key feature that helps you identify and follow up on jobs that may have been missed or were not properly closed out.

Ideas on How to Use This Report 💡
This report is invaluable for proactive customer communication and operational planning. Here are some key strategies for using it effectively:
📞 Proactively Confirm Appointments: This is the report's primary use case. Use it to manually confirm appointments, reducing no-shows and ensuring your schedule is accurate, especially if automated text confirmations aren't used or haven't received a response.
Workflow:
- Filter by Date Range: Pull the report for appointments scheduled 1-2 days out.
-
Identify Targets: Filter the
Confirmation Statuscolumn to show only appointments marked as "None." These are the clients you need to call.
How to Prioritize Your Calls:
-
High-Value Bookings: Start with appointments that have a large
Booked Revenue. These represent the most significant potential loss if a no-show occurs. -
Logistically Challenging Jobs: Prioritize jobs in distant
Zone Namelocations or those requiring substantial drive time. Confirming these prevents wasted travel and optimizes routing. -
Aged Bookings: Pay special attention to jobs where there's a long gap between the
Created Dateand theAppointment Date. Customers are more likely to forget about these.
📋 Plan Daily Operations & Resources: Review the report for the upcoming week to get a clear picture of your workload. You can analyze the distribution of jobs by Zone Name and Route Name to ensure you have the right number of technicians and equipment allocated for each day, preventing scheduling conflicts and improving efficiency.
✨ Verify Customer Data: Before the day of service, your team can quickly scan the report for any missing critical contact information, like a Mobile Phone or Email. This allows you to update the client's record proactively, ensuring all communications (like "on my way" texts) are successful.
