Before going through these steps please read the Refunds article to make sure this is what you are wanting to do.
Refunds are processed in the Finance portion of the admin section. Only users that have the Finance Admin permission have the ability to process refunds.
Search for the client that needs the refund issued and select which completed booking you are going to be doing the refund on.
The Process Refund screen will pop up
Step 1:
Enter the amount you would like to refund. You have the ability to enter only a partial amount of the product.
Step 2:
Select the payment type you would like to use for the refund. If they paid with a credit card, you will have the ability to put the refund directly back onto the card. If they paid with a check, a check will need to be written and send to them.
Step 3:
Explain why you are issuing a refund
Click process refund
If you selected to issue the refund to the credit card they used to pay, once you click process refund, Zr Ware® connects with your credit card gateway and issues the refund.
The refund amount is also imported into Quickbooks as a refund receipt and will appear as a negative in your undeposited funds.
Any notes entered will populate into the client record.
Trying to delete a payment from an invoice after creating a refund?
Note: You cannot delete a payment if there are still "Refund line items" on the invoice. Refund line items are created when someone creates a refund in Admin > Finance. Remove the refund line items by going to client history > actions > Edit Invoice > click on the line item and delete it. Now you can use the client history > actions > delete payment button.
