Modifying a Closed Invoice (Admins)
Sometimes invoices need to be modified or adjusted after they are closed.
- Modify an Invoice - Most changes can be made directly on the Edit Invoice screen.
- Reopen Booking - In some cases, the booking will need to be reopened first.
1. Modify an Invoice
To do this, first go to the client's client page.
In Client History > Actions, click on "Edit Invoice". This will open the tech modal shown below.
Make any necessary adjustments. These changes will be saved automatically.
Once you are finished, you can close the modal.
2. Reopen Booking
Occasionally, you will need to re-open the invoice to make necessary changes.
For example, if the invoice has already synced to Quickbooks or the job was closed on the wrong day.
In that case, use the Client History Actions to Reopen the booking (only admins can do this).
Once the booking has been re-opened, the needed corrections can be made to the original booking and to the final invoice (see Modify an Invoice).
Finally, the invoice will need to be closed again. If you haven't already done so, you can open the tech modal with the Client History Actions → Edit Invoice button.
In some cases, you would not want to send the customer a duplicate invoice because they had already received one when the booking was originally closed. You would also not want to send another Podium review text (if your company uses Podium).
- A control has been provided for you to choose not to send the invoice or the podium text in these cases. If this control is on, another invoice will be sent. If it is off, it will not be sent.
- Finally, press the close invoice button.
Then press the "Close Invoice" button.
