Promotion Codes

This document provides instructions for creating and managing promotion codes in Zr Ware®.

Important: Always test your promo codes in the training environment before deploying them to your live site to ensure they function as expected.

Accessing Promotion Codes

1. Navigate to Admin → Promotion Codes.
2. Once created, promotion codes can be applied from the booking screen, Technician App and the Online Booker (If set up to be available online).

Add a Promotion Code

To create a new promotion code:

1. From the Promotion Codes screen, click Add in the top-right corner.
2. The "Add Promo Code" modal will appear. Fill in the following fields:

1. Code: Enter a unique name for the promotion code. Each promo code must have a distinct name.
2. Amount: Specify the discount value and select the Discount Type (see "Promo Code Types" below for details).
3. Recurring Appointment Incentive Interval in Months: This is for the 3, 6 and 12 month Recurring Appointment Incentive promos. There can only be one promo for each interval.
4. Minimum Spend: The promo code will only apply if the total price of applicable services on the booking meets or exceeds this amount.
5. Undiscountable Subtotal: This is a dollar amount of the purchase that will not be affected by the promo discount. If the purchase amount is not greater than the undiscountable subtotal, no discount will be applied. This cannot be used in conjunction with other discounts.
6. Description: This text will appear on the customer's invoice.
7. Start and End dates: These dates define the valid booking period for the promo code, not the job completion date.
8. Job must be completed within date range:
   1. If checked, the appointment date must fall between the specified Start and End dates.
9. Can apply promo code anytime:
   1. If checked, the promo code will always be active and can be applied regardless of the date range settings.
   2. If unchecked, the promo code can only be applied within the defined Start and End dates.
10. Zone Minimum Override: Enter an amount here to override the standard Zone Minimum Booking amount for this promo code. This override applies to both Online and Non-Online Bookings.
    1. Note: The Zone Minimum is always compared against the total booking amount after the promo code discount is applied. Decimals are not permitted.
11. Impact Affiliate: Setting to make this promo code a promo code for the Impact Affiliate program.
12. First-Time Customers Only: Check this box to restrict the promo code's use to new customers or those without any previously completed bookings.
13. Cannot be combined with any other promotion: If checked, this promo code cannot be used with any other promotion code on the booking screen or Technician App. This restriction cannot be overridden by administrators.
14. Available Online: Check this box to make the promo code available for use with the online scheduler.

15. For all products: Check this box to apply the promo code to all products/services. 

    -> Require all selected products below before promo can be applied:

    • Use the section below this checkbox to select specific products/services to which this promo code is applicable. This option is not available if "For all products" is enabled.
    • If "Require all selected products below before promo can be applied" is checked, all listed products must be present on the invoice/booking for the promo code to apply.
    • If unchecked, the presence of any of the listed products enables the promo code to be applied.
16. Excluded Services/Products: If you wish for the promo code to exclude certain services or products, select them in this section.
17. Excluded Categories: If you wish for the promo code to exclude certain categories of products and services, select them in this section.
18. Promo Code Versions: Here you can view the different versions of this promo code over time.

Promotion Code Versions

The Previous versions section allows you to view past iterations of the promo code. Each time you click "Save," a new version of the promo code is created.

• Bookings that used a previous version of the promo code will continue to honor that version.
• New bookings will utilize the newly created version.

How Promo Codes are Handled

Promotion codes are managed in Zr Ware through the special line items: "Promo Code Discount" and "Promo Code Discount (Taxable)" found in Products and Services.

Promo Code Types

The "Discount Type" field determines how the promo code's "Amount" is applied.

• Discount (Flat Rate):
  • Applies a flat dollar amount off applicable services.
  • Note: If the sum of applicable services is less than the discount amount, the discount will only reduce the total to zero; the full discount amount will not be applied (e.g., a $20 discount on a $15 service will only discount $15).
• Percent:
  • Applies a percentage discount to all applicable services.
• Percent of Original Booking:
  • Behaves like the "Percent" promo code, but the discount only applies to products/services that were part of the original booking. Products or services added by a technician during the job will not be discounted.
• Special:
  • Cannot be combined with other discount types.
  • This type allows you to automatically add additional products to the booking at a discounted price (including free).
  • If the booking meets all other requirements (e.g., required products, date range), the specified additional products will be added to the booking.
  • If the booking does not meet the requirements, the special promo code will not apply.
  • If a "Special" promo code applies a deactivated service, that service will appear with a strikethrough on its name as a visual indicator on the booking.
  • Special Promo Code Fields:
    • Dropdown: Select additional products to be added to the customer's booking.
    • List of Products: Displays the products that will be added.
    • Quantity: Specify the quantity for the special promo product.
    • Price: Set the price for the special promo product (set to '0' for free products).
